We at Scotland’s Gardens Scheme are committed to protecting your privacy. Outlined below is information about how we use and protect your personal details. Whenever you provide information to us, we are obliged to protect your details in line with laws concerning data protection, including the General Data Protection Regulation (GDPR) and Data Protection Bill 2017. If any of this information is unclear or you would like further details, please contact us and we will be happy to help.
What information we collect about you
When you consent to sign up to our charity Newsletter, we request limited personal information. This includes:
- • your email because our Newsletters are sent through email
- • your name so we can personalise your Newsletter email
- • your postcode so that we can better understand the geographical spread of our supporters and make our Newsletters as relevant as possible.
How we use the information about you
We use personal details only for our Newsletter and will never use them for any other purpose without first getting your permission. We strive to send our Newsletters regularly, about monthly during our opening season unless there might be a special event.
Because we use Mailchimp for our Newsletters, they provide us with tracking information about Newsletter performance. This includes statistics about whether the Newsletter email is opened and about opt-outs including the reason for opting out.
How we protect your personal details
We use Mailchimp to manage our sign-up activity and their “double opt-in” process to help ensure that no one can sign you up without your knowledge. Once signed up, your details are held by Mailchimp and under their security. We do not keep any copy of your information, nor will we ever supply your details to any third party.
Access to your information and correction or deletion
You can request to see your details held by us. Also, we are happy to update your information if required. You can also correct your information by opting out and then signing back up to our Newsletter again with updated information.
If you wish to see or otherwise update your information with us, please contact us using the email which we hold for you so that we can be certain that it is really you. We will require you to verify your identity before acting on any request.
You will always have the option to opt-out of our Newsletter. Each Newsletter has an opt-out option at the bottom of the email. We will keep your details only so long as you are happy to receive our emails, if you opt out your details will be permanently deleted by Mailchimp. We do not hold a copy of your personal details.
We use several applications to support our website and these may have their own data usage and cookie requirements. These applications include:
Google Analytics – to help us to understand our audience
Google Maps - for our garden search
Mailchimp – for our Newsletter sign-up
We are obliged and do monitor the privacy policies of any organisation that we interact with in terms of data to ensure that they are compliant with the EU data protection laws.
